Submissions are the completed responses to the data collection forms that make up your carbon measurement programme. Each time you fill in and submit a form — whether for energy use, travel, waste, or other emission sources — a submission record is created in the portal. This page explains how to find, review, and manage those submissions, and how to export the data for your own records.

What is a submission?

A submission is a single completed response to one of the data collection forms in your certification programme. Submissions are linked to:
  • A certification — the annual certification record they contribute toward
  • A form — the specific data collection form that was completed (for example, an energy consumption form or a transport form)
  • A location — the site the data relates to (for multi-location certifications)
  • A programme — the certification level the form belongs to (Silver, Gold, or Platinum)
The portal tracks two types of data collection forms:
  • Jotform-based forms — hosted on the NCZ Jotform platform; submissions are pulled automatically into the portal
  • NCZ native forms — forms built directly within the NCZ Portal

Understanding submission status

Each submission has a status that tells you where it sits in the processing workflow:
Your NCZ Customer Success Team processes submitted forms and moves them to Processed status once the data has been validated and applied to your carbon report.

Viewing your submissions

From the Certifications page, select a certification and navigate to its Submissions section. Submissions are grouped by form type and displayed as tiles, each showing:
  • The form name
  • Submission date
  • Submitted by (user name)
  • Location name (for multi-location forms)
  • Current status
For certifications with multiple locations, the Company Profile form shows parent and child submissions — one per location.

Viewing submission details

To view the responses in a specific submission, select the View action on the relevant submission tile. The portal opens the form data so you can review exactly what was submitted. For Jotform submissions, the portal fetches the response data directly from Jotform and renders the answers in the portal view.

Editing and re-submitting a form

If you need to correct data in an existing submission, you can open the form again and re-submit it. The portal supports multiple submissions per form, so a new submission is created rather than overwriting the original.
Submitting a form again creates an additional submission record. Contact your NCZ Customer Success Team if you have submitted data in error and need to remove a previous submission, or if you need to replace a Company Profile form.

Exporting submission data to Excel

You can export the data from your form submissions to an Excel spreadsheet for your own records or for use in external reporting tools.

Open the certification

Navigate to Certifications and select the certification you want to export data from.

Find the export option

In the certification detail view, locate the Export control for the forms you want to download.

Select the forms to include

Choose which forms to include in the export. You can export individual forms or all forms for that certification.

Download the file

Click Export. The portal generates an Excel file containing the submission responses and downloads it to your device.
Exporting your submissions to Excel is useful for internal audit trails, sustainability reports, or sharing data with stakeholders who do not have portal access.

C&HW forms and location-level submissions

The Carbon & Health and Wellbeing (C&HW) form is a location-specific questionnaire used for the Blue Award application. Each location in your certification generates its own C&HW form link, and each must be submitted separately. C&HW submissions are tracked within the certification and are visible in the submissions view alongside your other forms.
